Job Description

Report and Database Management

  • Serve as administrator for Focus (external database); identify and resolve sales related errors or discrepancies on an as needed basis; manages filters to separate sales data by veterinary and OTC division and exclude any diversion or ALT/ALC (online) accounts.
  • Update territories and view capabilities; maintain Focus item master.
  • Create templates and generate reports in Focus and ProDecisions (internal database) for product managers, sales team, and management on an as needed basis.
  • Generate complex spreadsheets and tracking reports on an as needed basis.
  • May serve as administrator for CRM program; generate reports and analyze data.

Veterinary Division

  • Pull data for monthly veterinary distributor promotion reports; edit and send to distributor key contact and management for approval; process credit and/or check requests.
  • Investigate veterinary division data for diversion and maintain Do Not Sell list; make updates to the filter in Focus.
  • Process check and credit requests for various veterinary division expenses.
  • Process and track distributor co-op expenditures.
  • Generate and provide ad hoc sales data and reports for veterinary division managers.
  • Create ad hoc Power Point presentations.
  • Coordinate award or premium fulfillment of veterinary distributor representative quarterly incentive plan.
  • Review and process all bid and/or contract renewals for colleges and universities; provide updated pricing on an as needed basis.
  • Maintain approved pricing files for Vet Division.

 

ALT / ALC (Online Business Unit)

  • Maintain ALT chart of accounts, commission and sales documents.
  • Maintain co-op spreadsheet and rebate spreadsheets.
  • Serve as backup to Project Coordinator to assist with order entry.
  • Maintain approved pricing files for ALT/ALC.

 

OTC

  • Conduct monthly invoice auditing.
  • May assist with investigating OTC diversion.

 

Monthly Specials

  • Forecast premiums for monthly specials.
  • Generate reports and mailing lists for monthly specials with premiums.
  • Coordinate ordering and fulfillment of all monthly special premiums.

 

Loyalty Program

  • Serve as the administrator of the Loyalty Program database (Channel Link).
  • Forecast premiums for quarterly loyalty program.
  • Generate reports and mailing lists for quarterly loyalty program.
  • Coordinate ordering and fulfillment of all quarterly loyalty premiums.

  

Tradeshows

  • May serve as key contact or assist veterinary sales team with 13+/yr national veterinary tradeshows
  • May serve as key contact or assist OTC sales team with 2+/yr national tradeshows.

 

Supervisory Duties

  • Supervise other coordinators and ensure proper workflow.
  • Approve and track PTO requests; manage time cards weekly in ADP.
  • Conduct annual performance reviews under the direction of the Executive Director.

 

Other Duties

  • Perform other assigned duties as may be required in meeting company objectives.
  • Communicate effectively with other departments within the organization and function within a team environment.

 

MINIMUM REQUIREMENTS: 

  • Minimum of five (5) years customer service or related marketing administrative experience.
  • Supervisory experience preferred.
  • Strong attention to detail.
  • Ability to work well under pressure and meet deadlines.
  • Excellent organizational and communication skills.
  • Ability to prioritize and multi-task.
  • Possesses strong work ethic.
  • Self-motivated.
  • Requires initiative.
  • Team player.
  • Works independently.
  • Must be proficient in Microsoft Office suite, particularly Excel with ability to use functions and pivot tables for analysis.
  • Experience with data management systems a PLUS.
  • Experience with CRM a PLUS.
  • Ability to lift up to 50 lbs.
  • Some travel may be required.

EDUCATION AND EXPERIENCE:  Bachelor's Degree
